Barcelona School of Spanish belongs to the Winter Language Services Corporation. These terms and conditions will apply to any course offered by the corporation in Barcelona.

Once we have received a complete enrolment form and the necessary payment (deposit or in full) from the student, which can be done online, in writing or via telephone, the student and the school will be legally bound. The laws of Spain shall apply to this agreement.

A deposit of &euro100 is required for bookings made more than 4 weeks before the course is due to start. Upon receiving the deposit, the school will get in touch with the student within 48 working hours and find appropriate accommodation. The remainder of the course and accommodation fees is due no later than 4 weeks before the start of the course.

If the remainder of the fees is not received within 4 weeks before the course is due to start, the school may cancel the course (and accommodation) booked. The deposit is non-refundable and the cancellation fees given below apply.

Full payment is required at the time of booking for reservations made less than 4 weeks before the course is due to start.

We withhold the right to change our prices. However, no change will be made to the price of a course or accommodation once full payment has been received from a student.

The student is responsible for ensuring that payment is received in full by the school, without bank charges having to be paid by the school. If bank charges need to be paid by us, these will be added to the student’s invoice.

Methods of payment Credit/Debit card

We accept payment by Visa or MasterCard credit and debit cards. All credit card and debit card payments are subject to a 2% surcharge.

Bank / online Transfer

You may choose to pay by bank transfer or Pay Pal. The school should receive the full amount required, in euros, free of charges. If bank or Pay Pal charges need to be paid by the school when the bank transfer is received, these charges will be added to the student’s invoice.

Once a student has sent a bank transfer, they should notify the school of this by sending us a copy of the bank transfer by mail, fax or e-mail.

Changes made to bookings by the student

Students may change details of their reservation or postpone their start date if they provide written notice at least 28 days before the start of the course. It is not possible to amend or postpone a course after the date when a student is due to move into their accommodation or start their course.

Amendments and postponements are subject to a €40 charge. However, the school may withdraw this charge, if the changes or postponement result in the extension or upgrading of a course or accommodation.

Other changes to bookings

If a student is unable to attend the course they have reserved because they are found not to have the appropriate language level after completing the initial level test, we will offer an alternative course, or private lessons. The number of private lessons may be fewer than the group course booked.

The school makes an effort to ensure that our students receive the service and products that they book. We cannot, however, take responsibility for disruptions to courses resulting from forces out of our control (such as natural disasters, strikes, etc). Lessons may be missed due to level testing and initiation activities on the first day of a course. Lessons may also be lost at the end of a course due to evaluation tests.

There will be no recuperation or refund of classes missed for the above reasons, unless otherwise stated.

Activities and Excursions

Information about activities and excursions offered by the school should only be used as a guide and not as an accurate list of events. Please contact us prior to booking if you require specific information about any of our activities.

Cancellation by the Student

If this agreement is cancelled by a student, the following provisions apply:

Cancellation must be made in writing to the school office. The day that notification is received in writing by the school office is the official cancellation day and the cancellation provisions laid out below will apply.

All cancellations incur a loss of deposit. In addition, the following charges apply and are payable to the school by the student:

• Cancellation up to 28 days before the start of the course: loss of deposit only.

• Cancellation between 27 and 21 days before the start of the course: loss of deposit, 25% of the remaining cost of the course, plus the enrolment fee and the first 2 weeks of accommodation.

• Cancellation between 20 and 14 days before the start of the course: loss of deposit, 50% of the remaining cost of the course, plus the enrolment fee and the first 2 weeks of accommodation

• Cancellation between 0 and 13 days before the start of the course: loss of deposit, 100% of the remaining cost of the course, plus the enrolment fee and the first 2 weeks of accommodation.

• No refund shall be given after the day that the course is due to start.

• A separate cancellation insurance is offered by Barcelona School of Spanish. This cancellation insurance repays your unused tuition and accommodation fees in the following cases: a) you cancel your course at least 3 days before the start of your course or b) you need to cancel your course after its starting date for urgent medical reasons related to you or your direct family.

• We will need to receive your cancellation in writing (email or fax) and in case of urgent medical reasons, we require a medical certificate.

Travel, Transfers and Visas

Students must make their own travel arrangements and are responsible for obtaining all necessary travel documents, such as a valid passport and visa.

The school will supply the necessary documentation for students to obtain a visa, but are not responsible for a Consular authority’s decision whether or not to issue a visa. It is the student’s responsibility to allow sufficient time to obtain a visa and they should check with the Spanish Consular authority regarding how long this is likely to take.

If a student is unable to attend a course due to being unable to obtain a visa, the school will normally refund any fees paid, not including the deposit and the €65 enrolment fee, provided that the student can prove with the official documentation that they have been denied the visa due to reasons not within their control (allowing enough time for the application and completing the application correctly are considered the responsibility of the student) and providing that the school is notified of this in writing no later than 2 weeks before the course is due to start. Otherwise, normal cancellation fees will apply.

If the visa documentation is denied due to reasons within the student’s control (such as the student not possessing a valid passport, or other necessary documentation or not allowing sufficient time for the visa to be issued), the standard cancellation fees will apply.

Airport Transfers

The school can arrange airport transfers, at a cost of €60 euros one-way, from Barcelona International Airport to the student’s accommodation. However, the school must receive payment from the student for this service, together with full details of the student’s arrival time and flight number no later than 7 days before a student is due to

If the school does not receive these flight details within 7 days before the predicted date for the arrival, the school is not responsible for the student being met at the airport and the airport transfer fee will not be refunded.

Students, and those accompanying students, are expected to behave in a courteous manner and to respect fellow students and staff at our school, as well as to those with whom they share their accommodation.

The school reserves the right to withhold courses and school accommodation from any student violating school regulations or generally behaving in an inconsiderate or offensive manner towards others. Should students not respect these very general rules, we reserve the right to terminate the course and remove from accommodation any student violating the terms of this article. In that case, no refund will be paid for the course or for the accommodation.
